This role is for someone with exceptional English communication skills (spoken and written), a proven background in executive support and project management, and the ability for leveraging AI to streamline processes and maximize the CEO’s time. You will serve as the CEO’s right hand—managing communications, coordinating projects, and handling both business and personal tasks to keep operations running smoothly. REQUIRED QUALIFICATIONS Education · A bachelor's or master’s degree in business administration, communications, or any related administrative management career. · Language Skills: Exceptional English communication skills—both spoken and written—are mandatory. Training or Expertise · Strong Microsoft Office and Google Suite skills · Familiarity with AI Experience · +2 years of Proven experience as an administrative assistant or office administrative assistant for USA-based companies · +2 years of Proven experience working in customer service for USA-based companies KEY RESPONSABILITIES Client & Communication Management · Act as the first point of contact for clients via phone and email, providing professional, friendly, and informed responses. · Manage the CEO’s inbox, drafting, reviewing, and sending correspondence. · Maintain and organize the CEO’s calendar, ensuring seamless scheduling and time management. Executive & Project Support · Track the CEO’s tasks, priorities, deadlines, and follow-ups. · Serve as an accountable project manager, overseeing timelines, deliverables, and coordination across teams. · Support day-to-day business operations to ensure efficiency and alignment with company goals. Technology & AI Integration · Research, recommend, and implement AI tools to automate workflows, enhance communication, and improve operational efficiency. · Assist in integrating AI-driven solutions for marketing, customer service, and data management. · Personal Assistance · Handle personal errands such as sourcing household services or booking reservations. · Arrange domestic and international travel, including flights, accommodation, and itineraries for both personal and business trips E-commerce & Order Communication · Ensure that all online orders include accurate, clear communication (order confirmations, shipping updates, disclaimers, and promotional messaging). · Coordinate with fulfillment teams to make sure customers receive timely updates and resolutions for any order-related issues. · Review templates and automated systems regularly so messaging stays on-brand, compliant, and customer-friendly. REQUIREMENTS · Language Skills: Exceptional English communication skills—both spoken and written—are mandatory. · Minimum 2 years working remotely for USA-based companies. · Minimum 2 years as an Executive Assistant or Project Manager in a remote setting. · A clear, pleasant, and professional speaking voice. While an American accent is not required, the ideal candidate should be confident and articulate when speaking on the phone. · Strong organizational skills and the ability to manage multiple priorities simultaneously. · Tech-savvy, with experience using productivity tools (Google Workspace, Zoom, Slack) and project management platforms (Asana, Trello, ClickUp). · Comfortable exploring and adopting AI tools to improve workflow. · Open-minded, adaptable, and able to work with a brand in the hemp and wellness industry. · Highly professional, discreet, and reliable. Schedule: Monday to Friday, 10:00 AM – 6:00 PM EST or 12:00 PM – 8:00 PM EST However, as an exempt contractor, you may be required to work beyond these hours from time to time to fulfill your responsibilities as may be necessary. Internet and computers must be covered by the contractor.
